WHAT IS INCLUDED IN OUR TOUR PRICE

 

  • The inclusions in the tour price depend on the written communication between the client and our travel expert.

  • Rates quoted exclude surcharges for peak season and festive seasons like the christmas period, New Year period, Pushkar fare in Rajasthan and Trade fares, until specified unless.

  • Rates quoted for Foreign Nationals, NRI (Non Resident Indian’s) are in foreign currency depending upon the nationality of the guest i.e. USD / GBP / EUR / AUD etc.

  • The tour cost quoted is exclusive of applicable taxes (Hotel Luxury Tax, Road Tax for transportation & Government of India Services Tax) until specified unless.

  • Any increase in tax structure, fuel surcharges or any additional tax introduced by the Indian government during the course of the tour shall be paid by the client.

 

HOTEL CHECK IN / CHECK OUT POLICY

 

Most of the hotels have noon (1200 Hrs) as there check in / check out policy.
Early check in and Late check out is subject to availability and approval of the concerned Hotel.
For this a request in writting is required from the client, which can be send by email or fax to our Travel expert.

 

 

PAYMENT POLICY

 

As per our company policy full payment is required in advance before the start of the tour services.
This payment is to be settled as per the written communication between client and our travel expert.

 

Standard Policy

20 % payment – Token amount to start the booking Process
40 % payment – 50 days prior of the tour service start date.
Balance 40 % - Before start of the tour services.

In exceptional cases such as bookings for peak festive season and / luxury train bookings, full payment is required as per the policy of the Hotel / ultimate service provider.


 

MODE OF PAYMENT

 

We offer various options for payments to be made, in order to make things easy for you:

 

a) Bank wire transfer

 

We offer a payment facility via bank wire transfer for clients residing outside of India. This facility is available for all major international currencies such as remittance like USD, GBP, EUR, JPY, CHF, AUD, CAD, and SGD.

 

Note: Bank remittance charges have to be borne by the client.

 

b) Credit Card Payment

 

Customers can pay through their credit card by using our Online Payment gateway. We accept Master & Visa credit cards.

 

To process the payment with the bank we require some documents, which are

a) Duly filled and signed Authorization form, our Travel expert will send you the format for the same.
b) Photo copy of your passport
c) Credit card front side copy/scan

We ensure that the above documents will be destroyed after completion of the tour services.

 

Note: Payment by credit card will produce a 5 % bank service charge, which has to be borne by the client.

 

c) Payment in Cash / Traveler’s cheque

 

If payment is done in India it should be made in foreign currency (Payment in Indian rupees requires currency exchange certificate).

 

If payment is done by traveler’s cheque, a photocopy of your passport is required as proof of identity.

TRAVEL DOCUMENTS

 

Travel documents such as hotel exchange vouchers, sightseeing vouchers, air tickets, train tickets and so on, will be handed over upon arrival in India. If this is required outside India, client has to bear courier service charges.

 

 

AMENDMENTS AND EXTENSION IN STAY

 

Any amendments or extension in your stay after finalizing the tour is subject to availability. In such case any supplement charges or refunds depend on the Hotel / Ultimate service provider policy and Heartman Travel Services shall not be responsible for same.

 

 

CANCELLATION OF A BOOKING

 

Any cancellation against a confirmed booking has to be made at our New Delhi Head office via email or Fax at least 60 days prior to your arrival ( In case of group booking depending upon ultimate vendor policy or on terms agreed upon in written communication with our travel expert) to avoid any cancellation charges.

In exceptional cases such as luxury train booking and peak festive season packages a separate cancellation policy is applicable which will be made know by our travel experts at the time of booking or when it is required. It is the sole responsibility of the customer to understand cancellation policys for such periods.

 

 

REFUND AGAINST CANCELLATION

 

As per the Indian Government regulations any refund processed will be in Indian rupees only and the corresponding foreign currency amount will depend on rate of exchange on the day of the refund. Generally the process of refund takes a minimum of 30 days time.

 

 

REFUND AGAINST UNUTILIZED SERVICES

 

Heartman Travel Services or any of its representatives are not responsible for any unutilized services refund after completion of a tour such as a hotel stay, transport (Road / Air / Rail travel) and meals etc.
A refund request for any unutilized services will be sent to the ultimate vendor on behalf of the customer, only after receiving a claim letter. Once we receive the refund it will be forwarded to you as fast as possible. Normal processing time for this is 30 days after receiving the letter from the customer.

Heartman Travel Services Pvt. Ltd assures its clients to provide them the best information on Indian travel through our travel experts / representatives and the industries best travel services. For any dispute between hotels, airlines, other ultimate service providers and the client, Heartman Travel Services will not be responsible for these.


Travelers must take care of their valuables while touring and Heartman Travel Services Pvt. Ltd. Is not liable for any theft or lost of items however we assure our best assistance / support for any unforseen situation.
Heartman Travel Services is not liable for loss, injury or damage to any person or his/ her/ their property due to natural reasons like flood, technical fault, wars, earthquakes, riots, accident or any similar actions or reason beyond our control.
